Scope of Function: The Project Manager (PM) is the primary GBI point of contact with clients.  PM is responsible for coordinating the communication with clients regarding all issues regarding contract negotiation, production schedules, testing (incoming cell line, in process and final product), management of customer expectations, the timing of billing points and the successful handling of the project become the responsibility of the PM.  All official communication must be executed through PM or have PM in the loop. 

Reports to: Associate VP Client Services

 

Specific Duties: 

  • The prime contact with the client for GBI client related activities
  • Plan and execute client communication system to track and communicate project status and invoicing points to all GBI departments
  • Report clients’ request for information and action items to AVP CS and Management to discuss priorities and appropriate action items to respond to the clients’ request
  • Write, negotiate, and distribute Statements of Work (SOW) based on the proposal accepted by clients working with AVP CS
  • Initiate project Bills of Material and assure timely follow up and coordination with Manufacturing, Purchasing and Materials Management
  • Initiate preparation of Project Plan for new project with timeline in consultation with relevant departments
  • Coordinate periodic project review meetings as required to discuss the progress and the status of the project with all relevant departments
  • Facilitate fast, accurate communication, both in-house and with clients, by participating in Project Meetings and Operation Meetings
  • Update salesforce based on new scope of work as and when required. Revenue for each department will be generated on a monthly basis based on WIP
  • Work with Supply Chain team to ensure timely shipment of samples, product intermediates and final products requested by client
  • Prepare Work In Progress (WIP) for each project along with Finance. Initiate and track Project billing point forms
  • Work with GBI QC/QA to establish testing schedules for Projects, and to ensure that test Articles are submitted and test results are received in a timely fashion
  • Provide input to GBI Cash Flow and Sales Forecast projections as necessary working with AVP CS through salesforce
  • Contribute data as necessary to Sales and Marketing databases for mailings
  • Work in concert with AVP CS to provide service and information for prospects, new clients, and existing clients
  • Maintain a centralized archive of Statements of Work, Agreement for Services and Quality Management Agreements
  • Perform other tasks as necessary and as directed by AVP CS

 

Education and Skills Required

  • Minimum Bachelor of Science Degree
  • Minimum two (2) years PM experience in biological space (preferred)
  • Methodical time management skills for performing multiple tasks
  • Computer skills including MS Windows, MS Office, MS Project, ACT
  • PMP certified would be an added advantage
  • Working knowledge of relevant scientific processing and regulatory compliance issues
  • Ability to interact effectively with GBI personnel as well as the clients’ in-house representative and empathetic to their requirements
  • Must have good communication skills, including verbal and written acumen
